Events Specialist

The Events Specialist provides support for NWP events, including overall logistics planning and event management, internal and external communication, budgeting, and event documentation. The Events Specialist serves as the venue contact for the NWP Annual Meeting and supports the annual cycle of work for events managed by the Operations Unit. The Events Specialist works closely with the Events Manager on all logistical details for the Annual Meeting, the Spring Meeting, and other staff events, as well as acting as a resource for staff in the Events Manager’s absence. The Events Specialist provides support for other NWP events as assigned.
Responsibilities
Event Support
Annual Meeting
- Performs as the venue contact for the Annual Meeting
- Participates as a member of the Annual Meeting Logistics Committee
- Develops relationships and acts as main contact with Annual Meeting venues on all logistical and meeting-related details
- Arranges all Annual Meeting room setup, catering, audio/visual, and sleeping room details
- Manages the Annual Meeting timeline
- Oversees the Annual Meeting budget and budget tracking
- Collaborates closely with staff and leadership points
- Prepares Logistics Committee meeting materials
- Communicates with participants to answer questions pertaining to Annual Meeting logistics
- Provides on-site support for the Annual Meeting and various events
- Participates as a member of the Spring Meeting Planning Team
- Supports planning team by helping to maintain staff rooming list, venue contracts, and work charts and other documents as assigned
- Works closely with the Events Manager on logistical details for the annual staff retreat and staff picnic
- Interfaces with staff members as needed to keep communication flow open on important details
Administrative and Cross-Unit Support
- Provides administrative and event support for the Operations Unit
- Participates in unit and cross-unit meetings
- Works on special assignment for other NWP units on specific events and projects as assigned
- Supervises Operations Unit student interns
Requirements and Qualifications
- Bachelor’s degree
- At least two years of experience coordinating events
- Excellent organizational skills and ability to attend to details
- Ability to plan and problem solve effectively
- Ability to effectively communicate in team environments and with varied constituencies
- Ability to concurrently grasp the big picture and manage details
- Flexibility
- Interest in the mission of the National Writing Project
- General proficiency with word processing, spreadsheets, databases, and server-based environments
- Ability to travel
- Ability to safely lift and move 35 lbs., using appropriate equipment as needed
Compensation
$39,000 to $48,000 per year, complemented by an excellent benefits package.
